This role provides administrative and operational support to project teams and finance partners, managing project bookings, order entry, and financial aspects. The ideal candidate will have experience with ERP/CRM systems, strong organizational skills, and a Bachelor's degree in a relevant field.

Ansvarsområden

Provide continuous administrative and operational support to project teams and finance partners.
Coordinate project bookings, order entry, and revenue recognition.
Monitor project progress and communicate updates, milestones, and risks to stakeholders.
Prepare, maintain, and distribute project-related documentation and reports.
Support workflow creation, process improvements, and escalation management.
Collaborate with project managers, quotation specialists, and finance teams.
Create and maintain part extension requests, product records, submittals, and project updates in Oracle.
Manage project-related changes within Oracle.
Monitor project budgets and communicate potential financial concerns.
Gather and maintain documentation packages for inspections, shipments, and customer deliverables.
Establish and maintain project schedules and track key milestones.
Support project billing activities, including invoice generation and milestone billing.
Assist with project revenue recognition, cost monitoring, and financial reporting.
Investigate and resolve billing discrepancies with the Finance department.
Support project closure activities, including financial closeout within Oracle.

Krav

Experience supporting project administration, order management, customer support, operations, finance, or related business processes.
Experience working in a manufacturing, industrial, engineering, service, or project-based business environment.
Proficiency using ERP systems, CRM platforms, and Microsoft Office applications.
Strong organizational skills with the ability to manage multiple priorities while maintaining attention to detail.
Effective verbal and written communication skills and the ability to collaborate with cross-functional teams.
Analytical and problem-solving skills.
Ability to work independently while contributing positively to a team environment.
Working proficiency in English.
Availability to work the scheduled hours of 12:00 PM to 09:00 PM.
Bachelor's degree in STEM, Business, Finance, Operations, Engineering, or a related field, or equivalent combination of education, training, and relevant experience.

Experience supporting automation, engineering, manufacturing, or industrial projects.
Knowledge of project billing, milestone invoicing, revenue recognition, and financial reporting processes.
Familiarity with Oracle or other enterprise ERP platforms.
Understanding of international logistics, including Incoterms, payment terms, and regional taxation considerations.
Experience working with project schedules, project documentation, and order fulfillment processes.
Exposure to continuous improvement initiatives, workflow development, or process optimization.
Ability to analyze project financial data and identify trends, risks, or opportunities for improvement.
