Customer Service Representative/Service Advisor (Ipoh)

This role is responsible for selling and scheduling service work within the service department, maintaining strong customer communication regarding service updates and costs. The position requires managing repair orders, obtaining customer approvals, and liaising between mechanics and customers to ensure timely completion and delivery of services.

Responsibilities

  • Carry out customer appointments and raise preliminary repair orders.
  • Obtain customer approval for work and inform about estimated costs and delivery times.
  • Submit preliminary repair orders to the parts team for pre-planning and ordering.
  • Finalize repair orders using VST and perform elementary diagnosis with customers.
  • Update customers twice daily on repair order progress and issues.
  • Maintain communication between mechanics/foremen and customers.
  • Supervise subcontracted jobs and create requisitions for sublet work.
  • Finalize repair orders upon job completion, adding additional work and parts.
  • Ensure timely completion of delivery orders (invoices) before vehicle release.
  • Advise customers on campaigns, warranty, or goodwill actions.
  • Prepare reports to customers as required.
  • Regularly carry out housekeeping on Daily Work Orders and Daily Quotations in the GDS system.
  • Manage parts pricing and discounts within the dealer structure.
  • Collaborate with foremen on warranty and service agreement claim submission.
  • Work with workshop supervisors to manage WIP and pre-plan jobs.
  • Continuously improve truck technical and product knowledge through training.

Requirements

  • Diploma in business or engineering or any related courses.
  • Minimum 3-5 years of experience, preferably in the automotive industry.
  • Good knowledge of customer care and communication.
  • Fair knowledge of workshop business administration.
  • Basic knowledge of spare parts business.
  • Basic knowledge of traffic laws and regulations.
  • Good communication and interpersonal skills.
  • Ability to speak English and local dialects (e.g., Mandarin, Bahasa Malaysia).
  • Basic computer skills.
  • Valid driving license for heavy cargo trucks.
  • Basic auto mechanical skills in heavy-duty truck maintenance and repair.
