Responsibilities
- Ensure operational readiness for department process activities.
- Generate, process, and track purchase requisitions and POs for various needs using internal ERP systems.
- Review vendor invoices against POs and delivery receipts for accuracy before payment processing.
- Investigate and resolve billing errors or payment delays by communicating with vendors and stakeholders.
- Maintain digital logs of expenditures, track monthly budget utilization, and compile financial reports.
- Maintain updated vendor profiles and track contract renewal dates.
- Assist with routine office logistics, documentation archiving, and cross-departmental administrative requests.
Requirements
- Understanding of purchase order creation in software like SAP, Oracle, PRISM, Netpro, IAM, Joget, SIGN, ADOBE, EASI.
- Minimum 1 year of experience in administrative support, billing, accounts payable, or purchasing.
- Payment collection and follow-ups on pending bills.
- Basic proficiency with ERP or procurement software (e.g., SAP, Oracle, NetSuite, or QuickBooks).
- Strong communication and problem-solving abilities.
- Ability to work in a fast-paced environment.
- Strong skills in Microsoft Excel (data entry, basic formulas, VLOOKUPs) and Google Workspace.
Desired Qualifications
- Associate’s or Bachelor’s degree in Business Administration, Finance, Accounting, or a related field is preferred.
