Transcom is seeking an Office Administrator for its Matosinhos, Portugal office. This full-time, on-site role involves managing material resources, overseeing budgets and billing, and ensuring workplace maintenance. The ideal candidate will have C1+ proficiency in Portuguese and English and experience in administrative management.

Ansvarsområden

  • Manage office supplies by requesting quotes, managing the Expenses Committee, and reviewing invoices.
  • Monitor the cleaning company’s performance and report issues.
  • Collaborate with the maintenance company for preventive actions and implementation.
  • Monitor and manage inventory for daily operations.
  • Assist in organizing team-building activities, including planning meals and events, and managing gift cards.
  • Manage administrative aspects of the invoicing process in coordination with the Finance Department.
  • Provide administrative support to other sites in the region, including travel.

Krav

  • Professional working proficiency (C1+) in Portuguese and English.
  • Proficiency with Microsoft Office Suite applications.
  • Maintain motivation and a positive attitude in high-pressure situations.
  • Flexibility to work from offices in Matosinhos and travel to Braga once per week.
  • Previous experience in a similar role, including administrative management, liaising with suppliers, budget control, and billing.

Önskade kvalifikationer

  • Bachelor’s degree or equivalent in Business Administration or Business Sciences is not mandatory.
  • Experience in the contact center industry is a plus.
