Responsibilities
- Provide day-to-day administrative support to the Sales and Commercial team.
- Prepare sales-related documents, reports, presentations, and trackers.
- Process and coordinate customer orders, ensuring accuracy and timely follow-up.
- Maintain and update sales records, customer information, pricing, and promotional details.
- Coordinate with internal teams (Supply Chain, Finance, Customer Service, Marketing) for order fulfilment and issue resolution.
- Monitor sales performance and prepare sales reports.
- Track and administer promotions, campaigns, rebates, and claims.
- Coordinate meetings, customer visits, and sales-related events.
- Maintain documentation and filing of commercial agreements and records.
- Support purchase orders, invoices, and other administrative documentation.
- Follow up on outstanding actions and ensure timely communication.
- Support smooth day-to-day operations of the Singapore office.
- Manage office supplies, stationery, and pantry requirements.
- Coordinate office maintenance, repairs, and vendor services.
- Support the administration and coordination of office vendors, including quotations and payments.
- Organize internal meetings, town halls, and team activities.
- Support visitor management and office area maintenance.
- Assist with onboarding arrangements for new employees.
- Support general documentation, filing, and record-keeping.
- Assist with travel and other administrative arrangements.
- Support the implementation of office policies and procedures.
- Provide administrative support to the Singapore leadership team when required.
- Act as a coordination point between the Singapore office and regional/Malaysia support teams.
- Support ad hoc projects, reporting, and initiatives.
- Identify opportunities to improve administrative processes and efficiency.
- Ensure compliance with company policies and procedures.
Requirements
- Diploma or Degree in Business Administration, Sales, Management, or a related field.
- 2–4 years of experience in sales administration, commercial support, office administration, or a similar role.
- Proficiency in Microsoft Office, particularly Excel, PowerPoint, and Word.
- Good communication and interpersonal skills.
- A proactive, resourceful, and hands-on approach to work.
- Ability to work independently and as a strong team player.
Desired Qualifications
- Experience supporting a sales or commercial team will be an advantage.
- Strong administrative, organisational, and coordination skills with excellent attention to detail.
- Comfortable managing multiple tasks and priorities in a fast-paced environment.
- Experience with ERP, CRM, or other business systems would be an advantage.
- Demonstrated strategic thinking, strong analytical skills, and ability to see the big picture.
- Proven track record of displaying strong business understanding and ability to evaluate risks/opportunities.
- Exceptional collaboration skills and ability to form strong cross-functional relationships.
- Ability to convince, influence, and motivate others in a complex matrix organization.
- Keen for new experience, responsibility, and accountability; self-driven problem-solver.
- Open to new opportunities, evolving priorities, and flexible delivery against strict deadlines.
- Ability to manage shifting priorities and deal with ambiguity.
- Passionate about work and able to transmit energy to the team.
