Qualcomm is seeking an organized and proactive Assistant to VP to support the Vice President of Communications and their dynamic team in San Diego, CA. This role involves extensive calendar management, travel coordination, expense reporting, event planning, and maintaining a high level of confidentiality in a fast-paced marketing and business environment.

Responsibilities

  • Manage Vice President's calendar, appointments, and resolve scheduling conflicts.
  • Organize and coordinate internal and external meetings, managing detailed logistics.
  • Develop agendas and facilitate meeting notes and action items.
  • Manage executive-level contacts and create travel plans for VP's and Directors.
  • Process expense reports, obtain foreign visas, and review corporate cards.
  • Organize team events, luncheons, and support internal/external event logistics.
  • Prepare communications, presentations, and facilitate large group meetings.
  • Develop professional relationships with internal and external stakeholders.
  • Manage ordering of office supplies and support operational programs.
  • Provide back-up administrative support and maintain discretion of confidential information.

Requirements

  • Bachelor's degree and 4+ years of Administrative Assistant or related work experience, OR Associate's degree and 6+ years of experience, OR High School Diploma/equivalent and 8+ years of experience.
  • Expert knowledge of Outlook, Teams, Word, Excel & PowerPoint.
  • Minimum 7 years experience in administrative support for an executive leader.
  • Minimum 4 years experience managing calendar, travel, expense reporting, and event logistics for executive/Vice President level staff.
  • Global travel experience required.
  • Demonstrated expertise in executive-level communication and advanced presentation development skills.
  • Experience providing administrative support within a large corporate environment.
  • Post-secondary education/coursework in marketing, communications or business is preferred.
  • Ability to work in a fast-paced marketing and business environment.
  • Must be able to maintain a high level of confidentiality.
