The Service Writer position provides administrative support to the Service Department, focusing on maintaining service reports, managing work orders, and ensuring clear communication with staff, customers, and vendors. This role requires a High School diploma, 2-3 years of administrative experience, and proficiency in Microsoft Office, with a preference for experience in warranty or vehicle repair work orders.

Responsibilities

  • Perform administrative support to the Service Department.
  • Maintain consistent service reports, focusing on timely preparation and closure of work orders.
  • Accurately summarize technician notes to reflect complaint, cause, and correction.
  • Open and/or close internal and external work orders in a timely manner.
  • Follow approved service department administrative policies and procedures.
  • Assist with coordination of work order completeness for internal and external customers.
  • Adhere to safety and health precautions.
  • Perform other duties as assigned by supervisor.

Requirements

  • High School diploma or equivalent.
  • 2-3 years of experience as an administrative or office assistant.
  • Proficient in Microsoft products like Excel and Word.
  • Customer relations and phone etiquette skills.
  • Proficient writing skills.
  • Ability to self-manage goals and assignments with minor direction.
  • Able to work planned overtime when required/approved.
  • Able to work in a team/supportive environment.
  • Requires prolonged periods of sitting and/or standing, and occasional stooping, bending, and reaching.
  • Occasional lifting, pulling, carrying, or pushing objects up to 10lbs.
  • Potentially exposed to noisy, dusty areas, outdoor elements and environment.
  • Able to climb stairs and may need to climb up heavy equipment and use a small step ladder.

Desired Qualifications

  • Bachelor’s degree or higher from an accredited college in business administration or a related field is highly desired.
  • 2-3 years of experience with warranty, sales or vehicle repair or maintenance work orders is highly preferred.
  • Bilingual is a plus – fluent with English, oral and writing skills.
