Responsibilities

  • Provide strategic calendar management and time planning support for executives, aligning with their preferences and business priorities.
  • Manage meeting logistics, including preparation, material gathering, and troubleshooting AV/technical issues.
  • Act as a liaison between executives and teams, gathering information and distributing communications.
  • Coordinate and manage end-to-end event logistics, including supplier and business relationships.
  • Lead by example within the Business Support community, influencing others and maintaining a professional attitude.
  • Oversee multiple projects with varying deadlines, ensuring operational excellence and driving stakeholder accountability.
  • Manage expense reporting, purchase orders, and financial documentation in partnership with Finance.
  • Implement and maintain the rhythm of business (ROB) for the leader, creating and adjusting plans accordingly.
  • Facilitate team experience activities, recruitment efforts, onboarding/offboarding processes, and headcount management.
  • Manage travel arrangements and create detailed itineraries for executives and groups.
  • Ensure compliance with relevant travel policies and tax tools.

Requirements

  • 5+ years of administrative, business support, or customer service experience.
  • Experience with scheduling meetings/events, travel management, and administration for executive/upper-level management.
  • Ability to thrive working independently and collaboratively in a fast-paced, evolving environment.
  • Proven organizational and communication skills.
  • Sound judgment, discretion, and attention to detail.
  • A team-first mindset and willingness to step in where required.

Desired Qualifications

  • Bachelor's Degree in a relevant field (e.g., Business Administration, Human Resources, Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 2+ years of experience serving as a mentor to others.
  • 3+ years of experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Benefits

  • The typical base pay range for this role across the U.S. is USD $31.49 - $51.97 per hour.
  • In the San Francisco Bay area and New York City metropolitan area, the base pay range is USD $42.93 - $59.33 per hour.
  • Certain roles may be eligible for benefits and other compensation.
