HID Global seeks a Purchasing Executive in Johor, Malaysia, to support daily purchasing operations and company objectives. The role involves generating purchase orders, negotiating commercial terms, managing supplier relationships, analyzing capacity, and ensuring sufficient inventory levels. The ideal candidate holds a Bachelor's degree and has at least 4 years of experience in procurement or a related field.

Responsibilities

Generate Purchase Orders for raw materials and indirect purchases after vetting requisitions.
Coordinate daily with internal customers, warehouse, and suppliers for Just-In-Time (JIT) delivery.
Source and purchase indirect materials, stationery, hardware, and services.
Support internal teams with Purchase Requisitions, fixed asset, and petty cash buys.
Negotiate best commercial terms for indirect purchasing, including annual contract renewals and single-sourced materials.
Issue 3 RFQs for other materials to approved vendors.
Ensure Purchase Requisitions are issued and approved by authorized personnel.
Verify that agreed costing follows the correct process.
Ensure product description, pricing, and data are supported by backing documents.
Convert Purchase Requisitions to Purchase Orders and send them to suppliers.
Analyze capacity and material availability to determine schedule material.
Communicate with planners and sales to understand demand.
Manage sub-contractor material planning and semi-material delivery.
Ensure sufficient inventory of safety stock materials, practice prudent purchasing, and prevent over-stocking.
Attend to and follow up on all delivery complaints from production with suppliers and warehouse.
Request quotations, negotiate pricing and MOQ, and liaise with suppliers on sample requisitions, TDS, CSDS, and issues with raw materials (balance orders, damage, wrong delivery, rejections).
Maintain and create new item codes for purchase materials and update procurement information in the ERP system.
Handle import shipments, liaising with suppliers and the shipping department on documentation for import clearance.
Prepare reports on purchases, including cost analysis.
Ensure all records and documentation are accurate, up-to-date, and filed.
Maintain/review preferred supplier lists and add/remove suppliers.
Facilitate tenders for services and high-value orders.
Source new suppliers/products to support new product development or reduce supply risk.
Handle quality issues with suppliers in cooperation with other departments for the company's commercial and technical benefit.

Requirements

Bachelor's Degree in any disciplinary or equivalent.
Minimum 4 years of working experience in a related field (e.g., Procurement Officer, Materials Buyer, Tactical Purchaser, Technical Buyer, Purchasing Executive, Supply Chain Executive).
High level of integrity, assertive, honest.
Able to read and write in English and Mandarin.
Knowledge of Oracle.
Proficient in MS Office applications (Word, Excel, PowerPoint).
Familiar with operating systems like Windows.
Must be legally eligible to work in Malaysia.
