Responsibilities

  • Partner with the General Manager to coordinate business priorities, manage complex schedules, and ensure seamless planning of meetings, travel, and key leadership activities.
  • Prepare high-quality presentations, reports, and leadership materials while acting as a trusted point of contact for internal and external stakeholders.
  • Oversee the day-to-day workplace experience by coordinating office operations, facilities services, supplier relationships, and employee engagement initiatives.
  • Manage fleet administration and business support processes, ensuring accurate documentation, regulatory compliance, and effective vendor management.
  • Drive administrative excellence through contract coordination, record management, budget support, and continuous improvement initiatives that enhance operational efficiency.

Requirements

  • Experience supporting senior leaders in a fast-paced environment.
  • Ability to balance competing priorities while maintaining a high level of professionalism.
  • Strong written and verbal communication in both English and Spanish.
  • Experience using Microsoft Office tools.
  • Confidence using digital productivity and AI-enabled collaboration tools.

Desired Qualifications

  • A minimum of 3 years of experience in Executive Assistant, Office Management, Facilities Management or similar positions is desirable.
  • A Bachelor’s degree in Business Administration, Hospitality, Communications, Human Resources, or a related field is advantageous.
  • Experience supporting senior leaders, managing vendors and workplace services, coordinating travel and events, and overseeing administrative operations, budget tracking, and purchasing processes will help you thrive in this role.
