We are seeking a detail-oriented and customer-focused Service Coordinator to manage service operations, schedule technicians, and handle customer inquiries. This entry-level, on-site position in Port Coquitlam, BC requires strong organizational and communication skills to ensure efficient service delivery and customer satisfaction.

Responsibilities

  • Serve as the primary point of contact for customers, answering calls and emails professionally.
  • Schedule and coordinate service calls, dispatching technicians based on priority, location, and skills.
  • Maintain accurate customer, service, and work order information in Service Fusion.
  • Monitor technician schedules and workloads for timely service request completion.
  • Communicate updates to technicians and customers regarding appointments and service status.
  • Coordinate procurement of materials and parts, including creating purchase orders.
  • Review completed work orders for accuracy before invoicing.
  • Generate invoices, process payments, and assist with closing service calls.
  • Support Accounts Receivable by monitoring outstanding invoices and following up on overdue accounts.
  • Address customer billing and service documentation inquiries.
  • Identify and resolve scheduling conflicts or service issues to minimize disruptions.

Requirements

  • Previous experience in a Service Coordinator, Dispatcher, Customer Service, or Administrative role is preferred.
  • Ability to manage multiple priorities and adapt to changing schedules in a fast-paced service environment.
  • Strong organizational, problem-solving, and decision-making skills.
  • Excellent communication and customer service skills, with the ability to manage high-pressure situations professionally.
  • Ability to work effectively with continual interruptions while maintaining accuracy and attention to detail.
  • Proficiency with scheduling, dispatching, or service management software is an asset.
  • Ability to work independently while collaborating effectively with technicians, customers, and internal departments.
  • Strong computer skills, including Microsoft Office applications.
