Responsibilities

  • Support in managing training needs, deadlines, and expiry projections.
  • Upload training certificates after course completion.
  • Identify personnel requiring training based on upcoming expiries.
  • Support the onboarding of new employees, focusing on training needs and system setup.
  • Define initial training needs in collaboration with the HSE function using the Zucchetti platform.
  • Coordinate with IT for correct system setup (e.g., line manager, organizational references).
  • Ensure new hires are included in the initial training plan required by Italian legislation and internal policies.
  • Coordinate with team members responsible for training management.
  • Track medical fitness validity and upcoming expiries.
  • Support communication to line managers and HSE team.
  • Assist in the planning of medical visits.
  • Upload medical certificates into the system for proper tracking.
  • Support the management of initial medical examination for new hires.
  • Verify, on a preliminary basis, that external personnel have required training records and certificates.
  • Support document collection and preliminary verification.
  • Escalate unclear cases, missing documents, or potential non-conformities to the Italian HSE team.
  • Support the verification of HSE documentation of suppliers.
  • Ensure required documents are available, complete, and traceable in line with internal procedures.

Requirements

  • General understanding of HSE principles (risk prevention, hazard identification, basic safety concepts).
  • Familiarity with training management concepts (training needs, validity/expiry, certification tracking).
  • Basic knowledge of occupational health surveillance concepts (fitness to work, periodic medical checks).
  • Experience (even limited) in handling HSE documentation and records (certificates, reports, compliance evidence).
  • Good organizational and data management skills (accuracy, tracking deadlines, managing data in systems).
  • Excellent capability to use software, particularly MS Office 365.
  • Ability to navigate and operate the HSE management software platform, including Zucchetti where applicable.
