Customer Service Representative

This role is responsible for selling and scheduling service work within the service department, maintaining strong customer communication, and obtaining customer approval for repairs. You will also manage repair orders, parts pricing, and collaborate with supervisors and technicians to ensure efficient workshop operations and customer satisfaction.

Responsibilities

  • Sell and schedule service work in the service department.
  • Maintain strong communication with customers regarding service work.
  • Carry out customer appointments and raise preliminary repair orders.
  • Obtain customer approval and inform about estimated repair costs and delivery times.
  • Submit preliminary repair orders to the parts team for preplanning and ordering.
  • Finalize preliminary repair orders and perform basic diagnoses.
  • Print and distribute repair orders to the workshop.
  • Update customers twice daily on repair order progress.
  • Maintain communication between mechanics/foreman and customers.
  • Supervise subcontracted jobs and create requisitions for sublet work.
  • Finalize repair orders upon job completion, adding additional work and parts.
  • Ensure timely completion of delivery orders (invoices).
  • Advise customers on campaigns, warranty, or goodwill actions.
  • Prepare reports to customers as required.
  • Maintain the GDS system with daily work orders and quotations.
  • Responsible for parts pricing and discounts.
  • Work closely with the foreman on warranty and service agreement claim submission.
  • Manage Work in Progress (WIP) with the workshop supervisor and pre-plan jobs.
  • Continuously improve truck technical and product knowledge through training.

Requirements

  • Diploma in business or engineering or any related courses.
  • Minimum 3-5 years of experience, preferably in the automotive industry.
  • Good knowledge of customer care and communication.
  • Fair knowledge of workshop business administration.
  • Basic knowledge of spare parts business.
  • Basic knowledge of traffic laws and regulations.
  • Good communication and interpersonal skills.
  • Able to speak English and local dialects (e.g. Mandarin, Bahasa Malaysia).
  • Basic computer skills.
  • Driving license for heavy cargo truck.
  • Basic auto mechanical skills in heavy duty truck maintenance and repair.
